Use the first date as a prompt to have a complete brief and an available approver. It is not a reason to start irreversible work with missing measurements. If the dates are impractical, discuss a simpler format, a different presentation plan or revised timing before authorizing the order.

Why does the earliest date matter to an awards board?

An awards board meets to vote on the year's recipients. The ceremony is fixed, and the secretary wants to know how late the vote can be held. He enters the required date and the stage allowances from the quote. The planner returns four dates. The earliest, the start of proof review, falls before the board's planned meeting. That settles it: the vote has to move up, or the engraving list will not be ready.
